April, 2020

April 2020
The Board of Directors meeting of the Haddonfield 65 Club was held on Thursday April 2, 2020. The 65 Club clubhouse was closed due to the Corona virus shutdown. The meeting was conducted remotely using the Zoom program and was set up by Al Schmidt. President Bill Brown called the meeting to order at 10 AM. Roll was called and 11 members were on the call.
Fred Willis read the board meeting minutes from March 5, 2020. The minutes were approved as read.
President Bill Brown gave a short thank you to the directors for attending through Zoom.  He gave some recommendations to keep us busy during this extended shutdown and required isolation. Included in his recommendations was exercise, learning to cook without poisoning yourself, and write letters to friends.  Bill also thanked members Rich Bonnette for teaching the members how to use Zoom and Phil Kinsey who has spent considerable time keeping the membership informed of meetings and providing Zoom information.

Treasurers Report

·         Treasurer Dave Tarditi provided a detailed financial statement of the club’s finances.  Due to extraordinary expenditures and lateness in dues, the club’s budget and reserves have decreased slightly but are still in good shape.
·         In the past month, the club has made $700 in donations. $500 was donated to the Indian King Tavern to sponsor the Yelling Contest. The winner of this contest would be the town crier announcing the June `Skirmish’ event. Unfortunately, the skirmish has been cancelled due to the virus situation.  The contribution will provide advertisement for the club when the Yelling Contest and skirmish are held, probably next year. The contribution will eventually help purchase a Town Crier outfit for the IKT.
·         The second contribution was $200 for poppies to honor World War I New Jersey veterans who were killed and interned on foreign soil.  The two contributions were identified as extraordinary expenditures in the budget.
·         Seventeen (17) members have not paid dues for 2020 as of April 2.  The unpaid members were divided up among the directors who will call them about dues.  Dues must be paid soon or the member will not be listed in the club directory.
·         Discussion of the unpaid members revealed a discrepancy in the club’s data base when Bernie and Phil noticed they had different information on a specific person.  Phil and Bernie will review the discrepancies and ensure the various copies of the data base are consistent.
·         Since several trips have been cancelled, Dave asked for guidance on whether he should return the checks now or possibly keep them if the trips are rescheduled. Based upon information from Bill Brown most, if not all, of the attendees prefer the check be held until the trip is rescheduled.  Dave will hold onto the check until it is determined the trip will be rescheduled or permanently cancelled.
·         The Treasurers Report was approved as presented.
Membership
·         Roger reported he was unaware of any new club applicants.  Bill informed him of one possible candidate and will request his application be submitted.
·         Roger reported the club Trifold brochures have been placed at several churches, Borough Hall, and the Haddonfield Library.  Roger thanked Warren Reintzel, Al Schmidt, Walt Baker, Bill Brown and Howard Rementer for obtaining permission and placing the brochures.

Speakers
  • Frank reported the speaker list is still currently filled though May but it is in a flux due to the virus impact.  Haddonfield Commissioner Colleen Bianco Bezich is scheduled to speak April 2 using Zoom.
Trips/ Events
  • Bill Brown reported the Simeone Auto Museum on March 25 and the Barnes trip on April 15 have been cancelled due to the virus.  It will be determined later if the trips can be rescheduled.
  • Information on the following planned trips will be supplied later.
    • Phillies Ball Park Tour - 6/30
    • Shofuso Japanese House Tour – 7/22
    • Phillies Game 8/24
  • Spring Luncheon – May 14
    • The Spring Luncheon status is currently on hold.  Tavistock Country Club is currently closed due to the virus. A decision whether it will be held, rescheduled or cancelled will be made later.
  • 4th of July Parade
    • Frank made a proposal for the parade topic which interested several board members.  More details will follow.

Old Business

  • Cleaning
    • The requested second cleaning proposal was not obtained when the cleaning company declined to bid.
    • Bill contracted with the cleaning company to clean the club house once a month for $60.
    • Bill also had the club house rugs cleaned for $100.
    • Providing access for cleaning is an issue because the cleaning takes in excess of two hours and some club member must be present.  The board agreed to place a key in the clubhouse mail box to allow the cleaning company access.  The cleaning company will leave the key in the mail box upon cleaning completion.
  • General maintenance and repair.
    • The cost of window replacement and repair ranges from $7,000 to $30,000.  Both proposals were rejected by the board.  It is unclear what advantages are obtained for $7,000 and $30,000 is unaffordable to the club. The club will concentrate on upgrading lighting.  Bernie will direct this project.
  • The Tai Chi class Jack Poupard conducted, before the shutdown, was well received and members want it to continue.  Due to the shutdown, future classes must be shown on YouTube or Zoom.  Bill will discuss this with Jack.

New Business

·         Bernie had sixty-four (64) club envelopes printed for mailing official club business.  The number of newsletters printed will be decreased to thirty-five (35) for mailing to non-electronic members.  Additional copies will not be printed this month because the impossibility of distribution.
·         The meeting adjourned at 11:05 AM.

Once he has a contact Roger will request permission and leave Trifold’s at the churches.
Speakers
  • Frank reported the speaker list is currently filled through May.  Some of the upcoming speakers include the newest Haddonfield commissioner, a report from the Indian Springs Tavern and an Alzheimer researcher
Trips/ Events
  • Bill Brown reported the Simeone Auto Museum on March 25 has twenty attendees.  The trip bus will be Haddonfield school bus which is cheaper than other buses.  Bill is concerned though the half of the attendees are non-club members.  While non-club members are welcomed and desired it is preferable that a majority of attendees are club members. There was a brief discussion that non-members could be contacts for new members.
  • Trip advertising will be expanded from local publications “Today” and “The Haddonfield Sun” to include The Retrospect
  • Information on the following planned trips will be supplied later.
    • Barnes Foundation – 4/15

    • One cleaning service submitted a proposal of $80 for the first cleaning and $70 for all subsequent cleanings.
    • The board requested a second proposal for comparison purposes. Bill will contact a friend of his whose daughter provides cleaning services.
    • The board will evaluate the proposals and decide on a service at the April meeting.
  • General maintenance and repair.
    • The board had several discussions of necessary repairs, desired repairs and improvements to maintain and improve the club house comfort level.  Some of the items discussed were windows, doors, lighting and rugs.  The desirability and feasibility of any change is still in the discussion and very early evaluation stage.  As the board comes to decisions these will be reported.  Any suggestions or comments from the membership are welcomed.

Treasurers Report

·         Treasurer Dave Tarditi provided a detailed financial statement of the club’s finances and told us we were in good financial shape.
·         The 2020 budget was revised downward by $200 from the 2019 budget because in $2019 the club received an unexpected gift of $200.
·         Eighty-one (81) members have paid dues for 2020, as of February 5.  This is one half of the club’s membership.
·         After some discussion the board decided to send out another dues remainder within a week. At some time in the near future phone calls will be made to members to personally remind them.
·         The treasurers report was approved as presented.
·         Howard Rementer identified the club’s annual budget is about $5000 and the treasury held about $20,000.  Howard asked if there was some contribution the club could make to help make Haddonfield more pleasant.  This initated a discussion among board members with various suggestions.  The club’s meeting house requires various repairs. There were suggestions the club obtained estimates for repairs.  The club will determine which are necessary and affordable and present them to the borough for permission for the club to perform.  The most popular suggestion was the club retain a cleaning company to keep the house clean and to relieve current members from  performing the cleaning.  John Cokos volunteered to obtain pricing from a cleaning company.
Membership

·         The club makes a memorial contribution in the name of a deceased member to a charity of the members choice.  The board approved an increase in the contribution from $25 to $50.
·         The board discussed various ways to attract new members.  All concurred that personal invitations and contact was the most successful method.  However, to support the personal contact, the club will advertise in local newspapers and possibly church bulletisn and other public media to make people aware of the club’s existence. These methods will be used provided there is no cost to the club.
·         The fall Wine and Cheese party is currently the primary meeting to present the club to prospective members
·         The club received three membership applications in the past month. The board approved the three applications which had one Haddonfield resident and two non-Haddonfield residents who became guest members

·         Bill Brown presented a list of five proposed trips. These were
    • Simeone Auto Museum – 3/25
    • Barnes Foundation – 4/15
    • Phillies Ball Park Tour - 6/30
    • Shofuso Japanese House Tour – 7/22
    • Phillies Game 8/24
  • Additional information on each tour will be provided later.
  • Spring Luncheon – May 14.
    • The board discussed entertainment for the Spring Luncheon. Frank lodge informed us Tom Diemer offered to speak on the work performed at and history of the Indian King Tavern and to invite town criers for demonstration.  John Cokos suggested a Magician.  Both John and Frank will investigate these ideas for cost. However, it was pointed out traditionally the spring luncheon venue is entertainment and preferably music.  Additional performance suggestions are requested.
  • 4th of July Parade
    • Frank made two suggestions for topics.  Before 1920 Haddonfield was predominantly farms which were sold and broken into the current neighborhood areas.  The farms and resulting areas farms would be identified
    • The second suggestion was to identify Haddonfield residents who went on to high athletic performances such as professional teams or the Olympics.

November, 2019

The board of directors meeting of the Haddonfield 65 Club was held on Thursday November 7, 2019. Secretary Bernie Schaming requested Acting Secretary, Fred. Willis, to take the minutes.  President Jay Cokos’s called the meeting to order at 10 AM. Roll was called, and 13 members were present plus Phil Kinsey who will assume the newly created Data Base Manager position in January.
Fred. Willis read the board meeting minutes from October 3, 2019. The minutes were approved as read.

Treasurers Report

·         Treasurer Dave Tarditi provided a detailed financial statement of the club’s finances and told us we were in good financial shape.  The fall and spring luncheons combined almost broke even.  The total loss was $10 between them.  The fall luncheon however lost $160 because four people did not show, and the club was required to pay for the luncheons.
·         The failure to pay for a reservation promoted some discussion.  One suggestion was people should pay upon making upon a reservation.  The counter argument was this would remove paying at the door and may hold down attendance.  One solution suggested was notifying the luncheon attendees that there were unclaimed reservations and did anyone want to purchase the food themselves to take home.  This promoted some concurrence. This issue will be discussed next year before the spring luncheon and a policy decided then.
·         The treasurers report was approved as presented.

Membership

·         No new members were added in the past month according to Frank Lodge.
·         Frank will email all the new members who have joined in the past year and invite them to the November 11 Wine and Cheese party. Al Schmidt suggested purchasing name tags for the Wine and Cheese party to help new members feel more comfortable.  The Board approved the suggestion and Al will obtain the name tags.
·         One question was how many new members attended activities and not the weekly meeting.  Frank said it was unknown how many new members were attending only activities and it would be very difficult to obtain this number or if it is even possible. This question led to the issue of the decreasing number of Haddonfield members.  While guest members are vital and welcomed, the concern is the club is supported by Haddonfield money and if the borough commissioners see proportionally too many non-Haddonfield members, would there be an effect on the club.  The answer is unknown, and the board does not want that situation to develop.
·         Bill Brown suggested sending out a mass mailing to all retired men in Haddonfield.  The cost would be about $130 to obtain the mailing list.  This idea met with the board’s approval and Bill will contact the mailing company, Crell Advertising, to determine a time frame, exact feasibility and cost.  Bill also suggested a 65 Club member make a presentation on 65 club membership at the Lions, Rotary and Fortnightly clubs.  Dave Tarditi will contact the Rotary and Fred Willis the Fortnightly.
Speakers
·         Saul Resnick informed us the speakers list is complete through the March.  Saul will continue to obtain speakers until his term as 1st VP ends in December.  Saul hopes to have the speaker list full into April, by the time he steps down, and Frank Lodge becomes responsible for speakers.
·         The December 15 Christmas party will have about ten members discuss notable personal Christmas experiences.  Presently five members have volunteered, and Saul is looking for five more members with significant experiences.

Trips/ Events

·         Bill Brown informed the board the December 10 trip to the Tropicana casino in Atlantic City has 31 sign ups and requires 40 to break even.  Bill believes reaching the break-even point will be done but is concerned about 50% of the signups are not club members.  He hopes more members will sign up.  Cost will be $50 per person and include a meal voucher, attendance to the Christmas show and $15 in coin.   The bus will leave from Wedgewood Swim Club at 9:30 AM and return at 6:30 PM.
·         Wine and Cheese Party – Bill Brown will provide the wine and cheese.  Jack Poupard will provide the music.  Cost $10 per person. Bill is concerned about attendance and has required another mass mailing be done today or tomorrow.  Phil Kinsey will handle the mailing.
·         Fall Clean up – the club will perform an interior cleaning of the club house on November 14. Everyone is welcomed to assist
·         Christmas Luncheon – this will be held December 12 in the Methodist church Fellowship Hall. 12-2 PM.  Tom Mervine oversees the potluck lunch.  Members with names beginning with A-L will bring dessert and M-Z appetizers.  Attendees are requested to bring unwrapped sanitary products as gifts. Assistance is required for these gifts to be collected and delivered to recipients.
·         Salvation Army – Bill Brown is waiting for a December Friday date, preferably December 6, for the club to man the Salvation Army Collection kettle at the Haddonfield Acme.  Bill is concerned Acme will not permit the Salvation Army to set up this year.  Acme had some problems with another vendor this past year may be changing its charitable vendor policy.
  .

Standing Committees

·         Bob Parsons made a video of Dan and Tish Columbi’s October 17 club presentation. The club received a Thank You note from Tish for the video and opportunity for the presentation.

Old Business

·         Walt Baker is unable to serve on the Haddonfield Senior Citizens Board due to a conflict of schedules and meeting requirements.

New Business

·         Diabetes Run – the Saturday after Thanksgiving. –the minimum number of Marshals has been signed up, but backup and additional marshals would be very welcomed. All volunteers should report to the 65 club for assignment.  Three dozen donuts are being donated by Dunking donuts.
·         Saul, Bill Brown and Al Schmidt provided a draft of a new brochure they developed for club’s advertising and promotion.  This was given to the board members for review who have one week to evaluate and make revisions and suggestions. Comments should be sent to Saul or Al. The proposed brochure conforms to the club’s web page, no names are included in the brochure.
·         Al Schmidt provided a list of proposed officers and board members for 2020. Lee Wise will be the interim President with 1st vice President Frank Lodge substituting for him as required.  No other positions were discussed.  This issue will be reviewed at the December meeting.
·         John Cokos asked if the club would support the Poppy Project.  Poppies will be placed at the HMHS from Memorial Day to the 4th of July.  Exactly who is promoting this project is unclear.  The Why for this promotion is not known by this author. This is identified as a Community wise project.  The poppies require assembly, which will be performed by club members.  A total of 4000 is required, the club is willing to provide 100 which will cost $200.  This was approved by board with Howard abstaining
·         The club received some personal adds to place in the newsletter.  Newsletter Editor Dewaine Osman requested the Board define what is and what is not an acceptable personal ad.  The newsletter editor should not and will not be the judge as to acceptability of an ad. Board guidelines are essential.  After discussion, the board voted to ban all personal ads of any kind.    Promoting sales of anything is not the purpose of the club.
·         The meeting adjourned at 11:15 AM.

Respectfully submitted,
Fred Willis, Acting Secretary
